Zapier Agents: define the job before automating it

Start with one repeatable task

Choose a clear input and an observable result. An illustrative assistant might read an approved form response and prepare a follow-up draft. Identify which services and records it genuinely needs.

Separate preparation from action

Reading a record, drafting a message and sending it have different consequences. Use the current product’s controls and the connected services’ permissions to keep those boundaries meaningful. Do not rely only on a prompt to restrict access.

Test ordinary failures

Try missing fields, duplicate inputs and an unavailable connection. Check whether the workflow stops clearly and whether a retry can repeat an external action. Review logs and the final record, not just the assistant’s summary. Update the workflow when a source system changes. The goal is dependable completion with manageable supervision. A long chain of connected apps is not inherently valuable if the team cannot explain what happens when one step fails.
